Position Overview:
Creative Cauldron is seeking a dynamic, organized, and detail-oriented Operations Manager to support the day-to-day operations of our nonprofit theater. This role is essential to keeping our organization running smoothly, from managing vendor relationships and coordinating facility maintenance to providing administrative support across the entire organization.
The Operations Manager plays a key role in maintaining internal systems, supporting front-of-house operations, and ensuring a welcoming, efficient environment for our artists, patrons, and staff. The ideal candidate is a self-starter with excellent communication and multi-tasking skills who takes initiative, can work independently, and is passionate about the performing arts and community engagement.

Key Responsibilities:
General Administration
- Monitor and maintain organization’s primary email account and voicemail system, addressing patron inquiries and routing messages to appropriate staff members
- Maintain and organize administrative documentation and shared drive files for efficient internal access
- Oversee annual licensing renewals, including ABC license and tax-exempt certifications
- Maintain and update organizational policies & procedures, including those published on the company website
- Oversee the purchase and maintenance of office supplies and equipment
- Assist in preparing and collecting contracts for artists and performers
- Provide administrative support for camps and educational programs, including parent communications and check-in assistance on the first day of camp
Financial Management
- Collect and submit expense receipts and related documentation to the Accounting Manager for accurate expense coding
- Count and verify weekly box office and concessions cash collections and submit confirmations to the Accounting Manager
- Prepare and deposit weekly cash and check receipts to the bank
- Reconcile petty cash balance at the end of the month
- Assist with annual audit and 990 requests
Facilities Management
- Serve as the primary liaison for all facilities related matters, ensuring timely communication and resolution of issues
- Oversee facility-related vendor contracts to ensure cost-effectiveness and contractual compliance
- Manage the purchasing of facility supplies and furniture for lobby and theater
- Oversee facility upkeep, including maintenance schedules, routine inspections, and equipment servicing
Front-of-House Operations
- Supervise Box Office & Concessions Manager, including regular check-ins about weekend operations
- Coordinate with Box Office & Concessions Manager to reorder inventory and assist in receiving deliveries
- Review concessions sales reports and adjust offerings or pricing based on performance and trends
- Approve timesheets for Box Office & Concessions Manager and House Managers and submit to the Business Manager for bi-weekly payroll processing
Qualifications:
- Experience in administrative, operations, or theater management required
- Proficiency in Microsoft Office suite (especially Word and Excel) is essential
- Exceptional project management and organizational skills, with the ability to prioritize and handle multiple tasks effectively, ensuring timely and high-quality completion
- Strong communications and interpersonal skills, with the ability to interact respectfully and effectively with patrons of varied backgrounds, ethnicities, and socio-economic statuses
- Self-motivated and able to work independently as well as collaboratively within a team environment
- Passion for arts and community engagement highly desired
